Avenport Logistics LLC, a Wyoming limited liability company (“Avenport”, “we”, “us” or “our”), arranges freight transportation for commercial shippers as a third-party logistics provider. This Privacy Policy explains what personal information we collect through avenportlogisticsnet.com and in the course of coordinating freight, how we use and protect it, who we share it with, and the rights you hold over it.
Please read this policy in full. If any part of it is unclear, write to karenlie@avenportlogisticsnet.com and we will explain it.
1. Scope of this policy
This policy applies to personal information we process as a data controller — information we collect for our own purposes, including freight quote requests submitted through this website, correspondence with shippers, consignees and motor carriers, dispatch and tracking records, and the documents we are required to retain for tax, insurance and transportation-regulatory purposes.
This policy covers business contact information about people acting in a professional capacity — traffic managers, dock supervisors, drivers and carrier dispatchers. We do not operate a consumer-facing service and we do not knowingly build profiles of private individuals.
2. Information we collect
2.1 Information you provide directly
When you complete the freight quote form on this website, or contact us by telephone or email, we collect:
- Identity data — your full name and the name of the company or shipper you represent.
- Contact data — your business email address and the telephone number you provide for dispatch coordination.
- Shipment data — origin and destination, equipment type, requested pickup date, commodity, weight, piece count, temperature requirements and any handling instructions you send us.
- Consent records — whether you affirmatively opted in to receive SMS communications, the exact wording of the consent statement displayed to you, and the date and time of that action. We retain this record specifically so that consent can be evidenced if it is ever questioned by you, by a wireless carrier or by a regulator.
2.2 Information we receive from carriers and facilities
To move a load we receive and process information from the motor carrier and from the pickup and delivery facilities, including the driver’s name and contact number, tractor and trailer numbers, check-in and check-out times, signed bills of lading and proof of delivery, and any overage, shortage or damage notations made at delivery.
2.3 Information collected automatically
Our hosting provider records standard server and edge-network telemetry for security and availability purposes, including IP address, user agent string, requested URL, response status and timestamp. These logs are used to detect abuse and diagnose faults. We do not use them to build advertising or behavioural profiles.
2.4 Information we do not collect
We do not knowingly collect special category data (such as health, biometric, racial, religious or political information), payment card numbers through this website, or government identity numbers. Please do not include such information in a quote request.
3. How we use information
We use personal information only for the purposes set out below:
- To quote a lane, source capacity and respond to your freight inquiry.
- To coordinate and dispatch shipments, including issuing rate confirmations and bills of lading, arranging pickup and delivery appointments, and conducting check calls.
- To send transactional freight updates — load status, driver check-in and check-out, arrival and departure alerts, delay and exception notifications, and proof of delivery.
- To provide customer support and to keep a record of support correspondence.
- To invoice for services, settle carriers, and handle claims and disputes.
- To operate, secure and improve this website and our internal systems.
- To meet our legal, accounting, insurance and transportation-regulatory obligations, and to establish, exercise or defend legal claims.
We do not sell personal information, and we do not share it with third parties for their own marketing purposes. We do not engage in cross-context behavioural advertising.
4. Mobile communications & SMS

“No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.”
4.1 How we obtain consent
We send SMS messages only to people who have given express written consent by ticking the consent checkbox on the freight quote form of this website. That checkbox is unchecked by default and must be affirmatively selected; it is never pre-selected, and consent is never inferred from any other action. Providing a mobile number on its own does not constitute consent, and consent is not a condition of service or purchase.
4.2 What we send
Our messaging programme is transactional and support-related only. Messages may include acknowledgement of a quote request, rate and capacity confirmations, dispatch coordination alerts, driver check-in and check-out notifications, arrival and departure alerts, delay and exception notices, proof-of-delivery confirmations, and direct replies from our dispatch desk. Message frequency varies based on active freight shipments. We do not send marketing or promotional SMS.
4.3 Opting out
You may withdraw consent at any time by replying STOP to any message from us. Your number is suppressed immediately and you will receive a single confirmation message. Reply HELP for assistance, or contact karenlie@avenportlogisticsnet.com or +1 (315) 201-0599. Message and data rates may apply.
4.4 Handling of mobile data
Mobile telephone numbers and the associated opt-in records are stored separately from any general business-development records and are accessible only to the personnel who operate the dispatch desk and the messaging programme. Our messaging service provider processes these numbers strictly on our instructions, solely in order to transmit the messages we send, and is contractually prohibited from using them for any other purpose.
5. Freight tracking data
Where a load is tracked, the location data we receive relates to the tractor or trailer carrying the freight, supplied either by the carrier’s telematics provider or by a tracking application the driver has consented to use for that load. We use it for one purpose: to tell the shipper and consignee where the freight is and whether it will make its appointment.
- Tracking is load-scoped. It begins when the load is dispatched and ends at delivery; we do not track vehicles between loads.
- We do not use tracking data to evaluate individual drivers, and we do not disclose it to any party other than the shipper, the consignee, the contracted carrier and, where a claim requires it, the relevant insurer.
- Check-call records, appointment times and tracking history are retained with the shipment file because they are the evidence behind detention, layover and claim decisions.
6. Legal bases for processing
Where the EU or UK General Data Protection Regulation applies to our processing, we rely on the following legal bases:
- Contract — to quote, arrange, dispatch and invoice freight movements you or your employer have asked us to coordinate.
- Consent — for SMS messages to the number you provide. Consent may be withdrawn at any time, without affecting the lawfulness of processing before withdrawal.
- Legitimate interests — to secure our systems, prevent freight and payment fraud, verify carrier credentials, and defend legal claims, where those interests are not overridden by your rights.
- Legal obligation — to retain transportation, tax and insurance records we are required to keep.
7. Cookies & similar technologies
This website does not set advertising, analytics or cross-site tracking cookies, and it does not embed third-party trackers, social widgets or advertising pixels. No cookie banner is shown because no consent-requiring cookie is set.
Our hosting platform may set a strictly necessary cookie to route requests and to protect against abuse. Cookies of that kind are exempt from consent requirements because the site cannot be delivered securely without them.
8. How we share information
We disclose personal information only in the circumstances below:
- Contracted motor carriers — the pickup and delivery details, contact name and number, and handling instructions necessary to perform the movement.
- Consignees and facilities — the shipment and appointment details needed to receive the freight.
- Service providers — cloud hosting, email delivery and messaging providers who process data strictly on our written instructions and may not use it for their own purposes.
- Insurers, customs brokers and claims adjusters — where a cross-border movement or a cargo claim requires it.
- Professional advisers and authorities — where we are legally required to disclose, or where disclosure is necessary to establish, exercise or defend legal claims.
We do not sell personal information, and we do not disclose mobile telephone numbers or SMS opt-in consent data to any third party for marketing or promotional purposes.
9. Data retention
We keep personal information only for as long as it serves the purpose it was collected for, and then for as long as we are required to keep it:
- Quote requests that do not become shipments — 24 months from last contact, then deleted.
- Shipment files, rate confirmations, bills of lading and proof of delivery — retained for the period required by transportation record-keeping, tax and insurance obligations, and in any event no less than the applicable limitation period for cargo claims.
- SMS consent and opt-out records — retained for as long as the number is active in the programme and for a further four years after opt-out, because the record is the evidence that consent was properly obtained and honoured.
- Server and security logs — retained for a short rolling window and then overwritten.
10. Data security
We protect personal information with measures proportionate to its sensitivity: encryption in transit using current TLS, encryption at rest for stored submissions, access restricted to the personnel who need it to do their jobs, multi-factor authentication on administrative accounts, and a written response procedure for suspected incidents.
Freight fraud is an active threat in this industry. We verify carrier identity, operating authority and remittance details against source records before dispatching a load or releasing a payment, and we treat unexpected changes to a carrier’s contact or banking details as a fraud signal until re-verified.
No system is perfectly secure. If a breach affects your personal information and the law requires it, we will notify you and the relevant supervisory authority without undue delay.
11. Your privacy rights
Depending on where you live, you may hold some or all of the following rights over your personal information: access, correction, deletion, restriction of processing, objection to processing, portability, and withdrawal of consent.
11.1 United States — CCPA / CPRA and comparable state laws
If you are a California resident, the California Consumer Privacy Act as amended by the CPRA gives you the right to know what personal information we collect and why, to request its deletion or correction, and to opt out of sale or sharing. We do not sell personal information and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of. We will not discriminate against you for exercising any privacy right. Residents of other states with comparable statutes may exercise the equivalent rights those laws provide.
11.2 Europe and the United Kingdom — GDPR
Where the GDPR applies, you may exercise the rights listed above by contacting us, and you may lodge a complaint with your local supervisory authority. We respond to verified requests within one month, extendable by two further months for complex requests, and will tell you if an extension is needed.
11.3 How to exercise a right

We may ask for information to verify your identity before acting, and we will not use that information for any other purpose. There is no charge unless a request is manifestly unfounded or excessive.
12. International transfers
We are established in the United States and our systems are hosted there. If you contact us from outside the United States, your information will be transferred to and processed in the United States. Where we transfer personal data out of the European Economic Area or the United Kingdom, we rely on the European Commission’s Standard Contractual Clauses, together with the UK Addendum where applicable, and apply supplementary technical measures including encryption in transit and at rest.
13. Children’s privacy
Our services are directed exclusively at businesses and are not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
14. Changes to this policy
We may update this policy to reflect changes in our operations or in the law. The effective date at the top of this page always shows the current version. Where a change materially affects how we handle your information, we will give notice by a prominent notice on this website and, where we hold your contact details and the change requires it, directly.
